When you have lots of different people in the same space day in and day out there will be issues that arise on occasion even in the best jobs. There are times when you will need to escalate some problems that you may be having by filing a complaint with the HR department.

This is the thing to do before you go and quit your job since many problems can be resolved without them taking such a dramatic turn. 1 – Follow the company policy

Every company has different policies with regard to how their HR department operates and how you need to proceed. Take a look through the manual to find out what the specific policy is regarding your issue so you can understand how the complaint should go.

Knowing what the specific steps are ahead of time will allow you to follow the protocol to the letter and not present you with the possibility of your complaint going nowhere since the policy wasn’t followed. For instance, in some cases the company policy is for you to approach your boss about the issue before heading to the HR department to file a complaint.

When you do this or any other step make sure to have documentation of the fact that each step was performed as required. Then you can proceed to the HR department and finish the process. Of course, if your boss is the source of the problem you are having then this may not be possible in which case you should ask the HR department what to do.

2 – Document everything

For your complaint to hold water you are going to need to have a lot of evidence to back it up. If you have a very specific issue with a coworker, for instance, then this will devolve into a war of words with each defending themself. Instead of hoping people see things your way, you should present documentation of your claim.

Make sure to save all correspondence and any other records that will bear out your version of the story.

3 – Stay professional

Although you are likely feeling very frustrated with whatever problem you are having, you will need to place your emotions aside to make sure the issue is handled properly. Maintaining a professional attitude is going to go a long way toward this.

Make sure that you don’t raise your voice and that you never use language that you will regret later. Keep yourself composed and you are more likely to have things fall your way and have your case won.
